Integrated customer portal for a property manager

A reference digital platform connecting tenant requests, building updates and service analytics.

Published

This is a planning example written by EngineSpire to show how we would approach the problem. It is not a completed client project, and its outcomes are design targets rather than measured results.

The challenge

Tenant requests arrive through email, phone and messaging channels, making status and accountability difficult to see. Building teams repeatedly re-enter information into internal systems.

The solution pattern

The reference portal uses role-based tenant access, structured request forms, status notifications and API integration with the service-management system. Analytics track request volume, aging and recurring building issues while an accessible responsive interface supports mobile users.

How the work would be phased

  1. PHASE 01

    Map current requests

Document request channels, request types, handoffs between teams and the data model of the service-management system.

  2. PHASE 02

    Define roles and data

Agree roles for tenants, building staff, contractors and managers, and collect only the information each request needs.

  3. PHASE 03

    Prototype with users

Design request forms and status views, then test them on mobile phones with tenants and building staff.

  4. PHASE 04

    Build the integration

Connect the portal to the service-management system through its API, with retries, logging and a daily reconciliation report.

  5. PHASE 05

    Launch in one building

Measure adoption and request aging in one building before extending the portal to the rest of the portfolio.

Trade-offs and considerations

  • Tenant accounts hold personal information. Apply the Data Privacy Act principles of transparency, legitimate purpose and proportionality.
  • The integration is limited by the service-management system's API and by the quality of the data already in it.
  • Tenants will keep calling and messaging. Staff need a quick way to log those requests in the portal so tracking stays complete.
  • Following WCAG 2.2 keeps the portal usable for tenants on small screens and those using assistive technology.
